You can control availability to sessions in Panopto – no more recording into a folder your students don’t have access to and then moving sessions into a different folder when you want to make them available.
Set availability rules for new sessions per folder, then you can override those rules on a session by session basis. For example, if you wanted to prevent your sessions automatically made available to your students, you would set this at on the folder, and then set availability on each session.
Set availability rules on a folder
If you’re already in the Blackboard course, click on the Aston Replay link in the course menu, then click on the cog icon near the top right of the page. Alternatively:
- Go to astonreplay.cloud.panopto.eu and login (How?)
- Click Browse in the left hand menu
Locate the folder you require, then you can click the cog icon that appears next to it when you mouse over.
The following options are found on the Settings tab
- Immediately
- This is the default behaviour. Sessions will be made available to your students as soon as they have processed
- Never
- Nothing is made available to your students automatically, you will need to make each session available
- Starting on
- This lets you choose a date to release all of the sessions in the folder to your students
You can also choose when to revoke access to sessions in the folder.
- Forever
- This is the default behaviour. The sessions will remain available to your students as long as they have access to the Blackboard course that these sessions are a part of
- Until
- Automatically revoke access to the sessions at the date and time of your choosing
Things to consider if automatically removing access
If you will be removing access to these sessions on a specific date, we recommend letting your students know in advance. Also, consider that if you have enabled podcasts, your students may still have a copy of the sessions, even though they are no longer available from Replay
All of the above can be overridden by changing the availability for a session
Set availability rules on a session
Availability rules on sessions override those set on the folder, and are accessed via the settings icon.
The easiest way is to view the session, then click the cog icon near the top right of the screen. Alternatively:
- Go to astonreplay.cloud.panopto.eu and login (How?)
- Find the session you want to change availability for, either using the folder list on the left or the search bar at the top
Click Settings
Alternatively, you can find a link to the settings in the top when viewing a session, or in the email Panopto sends to tell you the session has finished encoding.
The settings window opens on the overview tab which contain the availability options.
- Now
- When selected, the session is available
- With its folder
- Inherit the rules set on the folder – which will be shown in brackets
- Starting on
- Choose a date and time to make this session available
As with folders, you can choose when sessions will no longer be available.
- Forever
- Viewers have access to the session even if the folder availability is set to never
- With its folder
- Inherit the rules set on the folder – which will be shown in brackets
- Until
- Automatically revoke access to the session at the date and time of your choosing
